Job Description

The administrative assistant should be able to assist management and all visitors to the company by handling office tasks, providing polite and professional assistance via phone, mail, and e-mail, making reservations or travel arrangements.

Your playing field:

  • Organizing internal, customers and visitors including drafting itineraries, book travel arrangements, dinners and transfers
  • Organize and schedule meetings and appointments
  • Carry out administrative duties such as filing, typing, copying, binding, scanning etc.
  • Close collaboration and support with HR Administrator and Colleagues in Malta (all locations)
  • Meetings and good communication with other Tipico departments
  • Maintain office supplies inventory by checking stock to determine inventory level; anticipating needed supplies; placing and expediting orders for supplies; verifying receipt of supplies
  • Support employees in Colombia in implementing initiatives within Culture Program that aim at keeping employees motivated and engaged with Tipico
  • Lead the health and safety system
  • Support to arrange the office events, training, seminars meetings and annual Christmas party
  • Help with the on boarding for new starters in the company and support the induction day
  • Research and creates presentations
  • Generate reports


Qualifications

Which skills should you bring to the pitch:

  • Bachelor degree with additional qualification as an Administrative assistant or Secretary
  • 1 year of experience in Administrative Areas
  • Communication skills
  • Pro-active approach to work
  • Solution oriented work approach
  • Strong presentation skills
  • Proficiency in MS Office
  • Attention to detail and problem-solving skills
  • Fluent in English, oral & written
